Practice Manager

The Practice Manager leads the operational and business interests of House Calls Behavioral Health, P.C. This position is responsible for oversight of the operational and administrative functions associated with the practice. The Practice Manager will be accountable for ensuring smooth and efficient operations that facilitate the delivery of the highest quality care for our clients and their families.

Qualified candidates must possess proven understanding and demonstrated success with fiscal management of a medical practice and the components of the revenue cycle: specifically registration, billing and collection functions.

40 Hours per week

Job Duties

  • Practice Management
    • Oversees the smooth operations of House Calls Behavioral Health, P.C.
    • Ensures optimal intake, telephone inquiries, EMR and HR systems.
    • Manages the medical billing of the practice in collaboration with the medical billing provider.
    • Responsible for managing patient billing inquiries.
    • Oversees the caseload management of therapists and ensures their compliance with established reporting and billing procedures.
    • Implements and oversees marketing, referral relationships, and communications (including website & email marketing) efforts.
    • Provides regular and thorough communications with President and Clinical Director, and reports on operational efficiencies. Communications include, but are not limited to: case-load and intake list review (weekly); accounts receivable and payable; hours of service provided per month; accounts payable; HR issues; or training issues.
  • Financial Responsibilities
    • Responsible for the smooth running of accounts payable/receivable, payroll processes, monthly reconciliation and financial reports
    • Supervises part-time bookkeeper/administrative assistant
    • Reviews all therapist session records for accuracy and timeliness of billing
  • Human Resource Management
    • Updates and manages insurance credentialing of psychotherapists.
    • Ensures legal compliance with HIPAA and HITEC throughout practice.
    • Works with Clinical Associate(s) and/or Senior Clinician(s) to promote employment opportunities, conduct initial interviews and suggest qualified candidates to the President.
    • Responsible for the management and training of staff, assures scheduling accuracy and optimizes patient flow.
    • Works with the President to ensure annual staff evaluations are conducted
  • Office Management
    • Ensures the smooth running of the office, including physical plant, technologic assets and office supplies.

Qualifications

  • Bachelor’s degree in a related field required, master’s degree prefered
  • Three year’s experience managing a medical office, including billing, credentialing and licensing
  • Experience with electronic medical record software
  • Knowledge of Quickbooks
  • Knowledge of Insurance/Medicare/Billing codes
  • Experience in planning and implementing office systems, layouts, and equipment procurement and maintenance
